What file formats can you transcribe?

We transcribe files in the following digital audio/video formats: M4A, MOV, MP2, MP3, MP4, MP4, MSV, AIFF/AIF, AMR, AVI, CAF, DSS, DVD, DVF, QuickTime, WAV, WebEx, WMA, and WMV. If we don’t transcribe in your desired format, let us know and we can see how we can help you. 

What do you use for transcription?

Our transcriptionists are equipped with foot pedals and audio manipulation software which allows us to break down, slow and edit audio making transcription more efficient.

How does it work with multiple speakers?

Yes, we have started the art audio manipulation software which allows us to break, slow, and edit audio making transcribing of multiple speakers more effective for our trained staff. If we are not provided with instructions or names, your transcript will indicate who is speaking with numbers (Speaker 1, Speaker 2, Speaker 3, etc). If there are more than three we might add a reference to gender for clarity.

Do you offer time stamping?

For a small extra charge. 

Filler words -what about the likes or ums?

We can automatically edit out words like “um” and “uh” at your request or if you would like a verbatim transcript just let us know when uploading your documents and we will type all filler words.

Why do you charge per line?

For medical: We charge anywhere from 10 cents per line. We charge per line rather than per minute to ensure you are paying for only what you use and not for extra. All other transcriptions (legal, general, business, and education) start at a very low price of $1/minute. See details on the pricing page.

What do you mean by "per line"?

Etranscription charges its flat rate on a per line basis of 65 characters per line. The total number of lines is calculated by dividing the total character count by 65. See our pricing here. Message us for custom quotes.

How does the pricing structure work?

Clients will be billed on a monthly basis. Clients will be sent an invoice along with a detailed summary of all the files typed during each month. The option of having automatic payments at the end of each month to ensure prompt fulfillment of services and create an efficient working relationship. How can I pay?

We accept all major credit cards and paypal. 

How can I submit files?

With our web-based control panel. We have our own file transfer system which is easily set up or we can work with your system. Our IT team can pair us to your system.  

How long does it take?

Delivery time depends on the duration and size of the file. You’ll receive a notification when ready. On average it takes 24 hours. 

How do I get my files back?

We will upload your file to our server for you to download. When completed you will receive a confirmation email to notify you of your completed document. We are also able to email/upload documents to your cloud or server. Let’s figure out a way it is easiest for you. 

Are you able to provide a smartphone application?

Scriber Services’ offers our users a friendly mobile dictation app compatible for both Apple Iphone and Ipad, and Android smartphone users. These apps are integrated with our dictation platform and are designed to work in a healthcare environment producing quality voice transcripts. The Mobile application offers the convenience for dictation from any location!

How do we receive the files back?

Our professional will transcribe your file in Microsoft Word and then upload it to our secure server for you to download. On completion of the transcript, our team will send you a confirmation email letting you know your work is ready. We can also send PDF on request. Conversely, we can also upload documents into your server or cloud network or simply send you attachments of completed work.

Are you able to support users and resolve problems?

Our customer support system is readily available and we offer 24/7 professional customer service.

How long are records kept? Retrieval time?

Etranscription will store records on our servers for the time-period of one year. If the client requests a pre-specified amount of time, records may be kept accordingly. 

Can you provide training to our help desk personnel ?

We will assign an account manager to the client for training purposes. The manager will be available to help with any issues.

What kind of privacy standards do you have in place?

Etranscription Inc. is committed to ensuring that all necessary policies, procedures and safeguards are in place at all times to comply with the Ontario’s Personal Health Information Protection Act (PHIPA) Privacy requirements in the handling of personal health information in all areas of the company. Who does the transcription?

With transcription houses in Toronto and San Francisco, all of our transcriptionists are located here in Canada and are trained in medical transcription with at least three years prior experience. Yes, that means no contractors and no offshore transcriptionists. Most of our team has also completed recognized transcription programs and on average, have over 10 years of experience in this field. All of our transcriptionists share a passion for delivering error-free, finished documents that all of our clients can rely on.
